The three rules
Everything else in this guide follows from these.
Price = price list
Every quote matches the Sept 1, 2026 price list. Item prices already include labor.
Labor is cost only
Labor rows show hours and cost but bill $0. If one shows a price, stop and tell Kamren.
Never edit a Rate
Rate is what SUS pays. To change a price, change the margin.
Build an estimate
Six steps. OneCrew does the hours and paint math for you.
- Add the right service. New Layout (NL) for new lines, ReStripe (RE) for painting over existing lines. The choice sets crew speed: NL stalls 12/hr, RE stalls 60/hr.
- Enter quantities on the items: stalls, feet of line, signs, autostops. Hours and paint fill in on their own.
- Check the crew. The Striper row defaults to 2 people. Add a Crew Lead or Helper only if the job needs one.
- Add Mobilization once for the job's city. Once per estimate, not once per service.
- Small job? Add the Minimum. Type 1 on RE Minimum ($337) or NL Minimum ($422). It never adds itself.
- Check before sending: labor shows $0 price, paint only in colors used, prices match the list, hours look right for the job.
Honoring an old (pre-9/1) quote: build it normally, then on each line use ⋮ › Remove margin hold and set the margin so the price matches the old quote. Leave the Rate alone and note the old quote number on the estimate.
Where things live
Settings › Costs holds every item. These four screens explain most of the setup.
Changing settings: a change to an item hits every service and new estimate that uses it. Kamren owns formulas, labor and thermo; Shay owns services and pricing. Give the other a heads up first.
Glossary
OneCrew words, plus our own shorthand.
- Cost item
- One thing we pay for: a role, a paint, a sign, a pole.
- Rate
- SUS's cost per unit. Never changed to adjust a price.
- Margin
- Sets the price from the cost. Change this to change a price.
- Margin Hold
- Keeps the margin fixed when the cost changes. The lock icon on a line.
- Default price to zero
- Counts as cost, bills $0. On all bundle labor.
- Cost set
- Items added together, like a sign set: sign, pole, base, install.
- Service
- A ready-made template you add to an estimate.
- Calculated Units
- OneCrew fills the quantity. Off means you type it.
- Formula
- Math that turns counts into hours or pails, e.g.
stalls / 12. - Override
- A different formula for one item inside one service.
- Reset calculated units
- ⋮ option that reapplies the current formula to a line.
- Actuals
- What the job really used: crew hours and materials, vs. the estimate.
- NL / RE
- New Layout (chalk + 2 coats) / Restripe (1 coat over old lines).
- WB / OB
- Water-based / oil-based paint.
- Mobilization
- Trip charge by city ("Mobile - Aurora"), from the price list.
- Tools, Materials, Equipment
- The 10% line on every job, per the price list.
Something looks wrong?
The usual fix is one click. If not, send Kamren a screenshot.
| You see | Do this |
|---|---|
| Labor adds to the price | Tell Kamren. Default price to zero got switched off. |
| Hours or paint show 0 | ⋮ › Reset calculated units on that line. |
| Paint in colors you didn't use | Tell Kamren. A paint formula needs fixing. |
| Every autostop type filled in | Clear the ones you didn't use and enter only the type installed. |
| Price doesn't match the list | Fix the margin. Never the Rate. |
| Minimum on a big job | Set its quantity to 0. |
| Custom-quote item ($0 or huge) | Type the price by hand: autostop delivery 51+, Thermo Red, Chevron/Shallows, murals. |
